REGISTRATION STANDARD TERMS AND CONDITIONS 


DELEGATES, ACCOMPANYING PERSONS and INVITEES ATTENDING THE EVENT


1. This Event is: SAACI 2014 National Congress

2. You are contracting for the Event (excluding your accommodation) with SAACI 2014 National Congress(“the Organiser”). 

3. As a delegate or person accompanying a delegate or an invitee to the Event, your participation in the Event is on the basis of and subject to the terms and conditions set out herein. 

4. As a delegate or person accompanying a delegate or an invitee to the Event, you are solely responsible for: 

4.1. Arranging/ensuring that you are in possession of and have complied with the following necessary arrangements for attending the Event: 

4.1.1. The correct travel documentation, including passports (the passport should be valid for a period of at least 6 months after the end of the Event and have a minimum of 4 (four) unused pages); 
4.1.2. The correct visa and valid visas/re-entry permits; 
4.1.3. Health, foreign exchange and other legal requirements; 

4.2. Timeously make payments of registration, and service fees associated with additional services you may require (including accommodation, transportation and tours). Participation in the Event is conditional upon paying all registration fees due; 

4.3. Arranging all travel (including flights) to and from the Event; 

4.4. Obtaining travel insurance, including insurance in respect of the cancellation or postponement or curtailment (“Force Majeure”) of the Event. 

5. If the Event is cancelled or postponed by the Organiser for any reason whatsoever, the Organiser shall: 

5.1. not be liable for refund of any or all registration fees paid by you in respect of the Event.
5.2. not be liable for any accommodation costs paid by you. 
5.3. not be liable for any travel costs (including air fares) paid by you. 
5.4. not be liable for any tour costs paid by you. 
5.5. not reliable for any other costs not mentioned above. 

Having regard to the risks which you carry in terms of this Clause 5, you are strongly recommended to arrange with your insurance company for the necessary insurance policy to cover you in the event of the cancellation or postponement or a force majeure event, of the Event; to cover you in the event of any such loss, injury or damage arousing during the event. 

6. Neither the Organiser nor its employees, directors or representatives, shall be liable for any loss, injury or damage to your person and/or property howsoever arising from any actions, errors or omissions on the part of the supplier/s of services (“the Supplier/s”) to the Event (including but not limited to the Supplier/s of tours, transportation, Congress venues and accommodation) and the Supplier/s may in turn also have contracted out of liability for such claims. Having regard to the risks which you carry in terms of this Clause 6. 


7. All amounts are payable in South African Rands and payment made in foreign currency, will be at the prevailing exchange rate applied by the Organiser‟s bankers from time to time. 

7.1. For exchange rate estimation purposes, click on http://www.xe.com 
7.2. All forex charges and bank fees are for the payee’s account. 

8. Credit Card payments are processed on-line on completion of the registration process and the relevant bank charges will be for the payee’s account. 

9. Your registration is confirmed once all registration and other fees have been paid in full. The SAACI 2014 National Congress. Congress Secretariat will acknowledge receipt of your registration within five (5) business days of the receipt of your payment. 

10. The Organiser’s cancellation policy: 

10.1. Cancellations must be received in writing. 

10.2. If received on or before 30 April 2014, a full refund will be given less a 15% cancellation / 15% administration fee. 

10.3. For all cancellations made after 30 April 2014, no refunds will be made. However, registration may be transferred to other persons in the same category. 

10.4. “No shows‟ will be liable for the full registration fee without refund. 

11. Substitutions may be accepted prior to the event provided this is done in writing no later than 31 July 2014.

12. The Supplier/s of tours booked by Delegates (or persons accompanying Delegates, or invitees), determine the cancellation terms applicable to such tours, which terms are available on your request. 

13. The standard terms of the Supplier/s of goods and services, will apply to your booking of such services and are available on your request. 

14. These terms and conditions are governed by South African law. 

15. In order to protect the legitimate credit card holder in the event we need to process your credit card manually, we will require the following documentation for our records: 

15.1. A copy of the front and back of every credit card processed. 
15.2. A copy of your ID book or Passport. 
15.3. Please note that these policies are being implemented for the security of both the delegate and supplier, and we do not intend to inconvenience you in any way. Under SA law and the Financial Centre Intelligence Act of 2001, we are required to produce documented evidence of authorization from a delegate to process a delegate’s credit card. 
15.4. Please note that this is a once off request. 
15.5. All information provided is kept strictly private and confidential.
